My Moissanite is a fast-growing, premium e-commerce jewelry brand with a deliberately lean setup. We operate from a beautiful office in Recoletos, Madrid, with two balconies overlooking the Palacio de Cibeles.
Our team is small: Just the founder and a full-time developer. But we punch well above our weight class by leaning heavily on automation, AI, and smart combinations of the two.
Here's the reality though: our growth is starting to outpace our operational structure. Too much of the daily engine still lives in the founder's head, and too much execution still lives in chat threads, memory, and loose follow-ups. We need a high-agency Chief of Staff / E-commerce Operations Lead who thrives in a fast-moving, slightly messy environment and can build bulletproof systems without slowing us down.
This is not a pure operations, customer support, or admin role. Yes, you'll own the day-to-day operational flow. But once that's under control, a meaningful part of your role is making sure work across the business is clearly tracked, prioritized, followed through, and continuously improved.
This isn't a job for someone who wants to stay in a narrow lane. Your primary responsibility will be building the systems, structure, and execution discipline that allow the company to scale. While you'll initially handle some operational work directly, the goal is for you to own the operating system of the business and, as we grow, delegate routine execution to a junior operations assistant.
Project Management: Establish one shared system for all active operational and cross-functional work. Projects, tasks, bugs, follow-ups, and priorities should no longer live scattered across chat threads or loose notes, but sit in a single source of truth the entire team can access, update, and rely on.
Weekly Cadence & Visibility: Run weekly planning, review, and reporting so owners, deadlines, blockers, overdue items, and next steps are always visible.
Systems & Process Building: Create the SOPs, checklists, workflows, and operating rhythms needed to turn recurring chaos into reliable routine. Your success will be measured by how much work becomes predictable, documented, and scalable.
Operations Ownership: Initially spend roughly 5–10 hours per week handling customer support escalations, supplier communication, order follow-up, fulfillment oversight, and operational administration. As volume grows, you'll hire, train, and manage a junior operations assistant who takes ownership of most day-to-day execution.
Logistics & Supply Chain: Oversee customs, pickups, shipping exceptions, returns, and supplier performance, ensuring issues are resolved quickly and consistently.
Office & Stock Organization: Improve stockkeeping and physical organization so packaging materials, operational essentials, and inventory are easy to find, track, and manage.
Over time, this role should evolve away from routine operational tasks and toward building systems, improving execution, managing people, and helping leadership keep the company running efficiently as it scales.
